If you haven’t heard of Alternative Accountancy, look them up. We joined a few of their hangouts recently and found interesting topics and polls and some great speakers from large UK firms. 

While AccountancyManager is designed for small to medium practices, keeping an eye on the likes of Saffery Champness, Kreston Reeves and Grant Thornton helps us take our users to the next level – and find out where the cracks might be along the way. 

Optimism for the road ahead

How businesses will look as we emerge from the lockdown has been a core topic of the hangouts. But the consensus is that we should be looking much further ahead than the next few months. According to all the panellists, the outlook is overwhelmingly positive – as long as you have the right systems in place and buy-in from your staff and clients.

Profitability: Powerful data for big decisions

Be honest, do you know exactly which of your clients, services and business areas generate the most profit? 

As an accountant, you know how important visibility of this data is for your clients, so we apologise in advance if this article preaches to the converted…

By using AM, you can track staff costs against client revenue. This means you can see which jobs are most, and least, profitable. Helping you make business-critical decisions around pricing and efficiency and business strategy.


Identify where your profits are coming from


Start by tracking the time your staff spend on any chargeable work. We took a closer look at time tracking last month. Simply add the fixed fee you charge for services and an actual hourly cost for each staff member. Then, at a glance, you can see:

  • Total revenue
  • Total value of time
  • Total cost of labour
  • Total hours
  • Total budget profit
  • Total actual profit 

You can then filter this data to see exactly how much profit specific clients and services are generating for your practice. Your overview will show your profit over the year and you can filter this by month.

Use profitability insights to plan your next move


The power of this feature lies in how you use this new data. Your accounting software already gives you visibility of your cash flow and AccountancyManager shows you what everyone is working on. Add profitability to the mix and you can pinpoint areas of improvement, uncover opportunities for new revenue streams and track the profitability of any new approaches or ventures. We probe practices on their WFH strategy

Webinars have become the new Marmite. Some love’em, some – not so much. We took the plunge with our first live panel discussion last week and were delighted to have hundreds register.

Live online content is just one way technology has stepped up during the pandemic. We asked Rob Brown, host of the popular Accounting Influencers podcast – to host a discussion around how else accountants have turned to technology in recent times.

While the panel waited for attendees to join, they had a chat about returning to the office. But for Jeff Neil and his team, there’s no office to return to.

“We don’t have an office anymore. In February we went totally virtual. I’d like to say we brilliantly anticipated what was about to happen, but really we’d decided to go totally remote anyway”

Onboarding: Accelerate your process with intelligent automation

Onboarding new clients was a significant pain point for accountant James Byrne. So much so, he designed a system to automate as much of the process as possible. The result? AccountancyManager. Automate your letters of engagement

It not only establishes a framework for the work you’ll perform and how fees will be charged, but can detail liability caps and your process for dispute resolution.

Select the specific services you’re providing your client and AM will automatically compile the correct associated policies, terms and obligations and send them to your client. Notifications: Work together or just have a chat

Remember when everyone at your practice was working from the same place? If you needed to update colleagues with new information or ask a quick question, you’d just pop over to a colleague’s desk. The absence of this option makes us realise just how important it is. 

Working alone can be lonely, but the negative effects can extend much further – impacting the performance of your team and the productivity of your practice. 

More emails? More meetings?

You might be relying on internal emails or more online meetings to combat the ‘proximity problem’, but there are a few good reasons why you don’t normally do this at your office:

  • Efficiency: It’s quicker to simply turn around or get up, than to open your emails and write the obligatory pleasantries or set up a meeting. There’s also the risk of getting sidetracked by your own inbox.
  • Immediacy: You get your answer straight away – instead of having to wait for your colleague to check their emails and read and respond to their other emails first.
  • Human contact: It’s a great excuse to have casual conversations. Which, by their very nature, can end up solving more problems than a lengthy email chain or an official ‘meeting’.

So, do we need to wait until we’re all back in the office to enjoy efficient, immediate communication with the ‘human’ element? Thankfully not.

Send notifications through AccountancyManager 

If you hit any roadblocks, you just fire a question over to a colleague, keeping efficiency and productivity high. Team meetings are also kept short as some issues are solved with quick exchanges as you work.

Customise your messages 

Of course, you can write whatever you like in your message. The customisations are around how and when your messages appear to the recipient.

  • Mark messages as urgent
    When you create your message, you can set it as urgent. Not only will your colleague’s ‘notification bell’ flash, they’ll get a red bar across the top of their AccountancyManager screen that won’t disappear until they’ve read and actioned your message. 

    You can also set a message to become urgent after a certain number of days.
  • Highlight client-related notes
    If your message is about a particular client, you can send notifications to other staff members and make them client related. When you click this option you’ll get a drop-down list of all your practice’s clients (which also makes them appear on the client timeline).
  • Set a time for your messages to send 
    Delaying your messages is useful if, for example, you’re going on holiday and need someone else to contact a client for you. Simply set this notification up before you go.
  • Choose when you’ll get a notification
    Do you want to be notified when the recipient reads your message, when they archive it or not at all? The choice is yours.

Update progress of a task and send as a notification 

If your message relates to a task, you can add a Progress Note directly to a task. There’s an option to automatically send this as a notification to another staff user.  Continue reading...

Client portal: A streamlined experience for you and your clients

We recently reported on how AccountancyManager customers have been responding to the lockdown. As we expected there was a direct correlation between the challenges they’re facing, the features of AM that are helping and the spikes we’d spotted in AccountancyManager usage. 

One challenge was not being able to meet clients in person or get documentation and signatures from them. We saw a 20% increase in portal sign-ups over March and April and it was rated third ‘most useful AM feature’ (after bulk emails and tasks).

Share docs, get signatures and give your clients more control

Getting your clients portal registered is simple, and you can invite multiple clients at once. Once they’re in, your clients can access any documents you share with them, add their e-signature and directly fill in any online forms (created by you). They can update their details in AccountancyManager directly, removing the middle-person (you). No more printed checklists, temperamental Word docs or time spent deciphering dodgy handwriting.

AccountancyManager portal factsheet – for your clients

Rachel, AccountancyManager’s Support Team Lead, has put together the best bits of the client portal from your clients’ perspective – a handy factsheet for you to share.

Keep all your documents in one place

All of your documents are stored and organised in one place for you to refer to and download anytime. So no more trawling through your email inbox searching for ‘that thing my accountant needed… what was it again?’ Simply log in to your personal (free) account.

Exchange and sign documents

Your accountant can email you to let you know they have uploaded a document for you to view or sign. If you upload something to your portal for your accountant to look at, they will be sent a notification automatically to let them know your document is there. They will also be notified when you have signed a document, so they can get your accounts or returns filed.

Update your details anytime

If you have moved to a new house, got a new email address or phone number you can update your details in your portal. Your accountant will also be notified of any changes you make to your personal details, so everyone is kept in the loop.

Fill in forms online

When self assessment comes around, you can enter all your information online, so no more printing out checklists or filling in temperamental Word docs.  Continue reading...

Recent SA panic? Get the right client info – fast – with custom forms

Thursday marked the Self Assessment tax return deadline for anyone claiming a coronavirus Self-employment Income Support Scheme grant. HMRC will use data on 2018-19 tax returns submitted by 23 April 2020 to identify those eligible. The Government’s guidance states:

If you have not submitted your Self Assessment tax return for the tax year 2018 to 2019, you must do this by 23 April 2020 or you will not be able to claim. HMRC will review any late returns in the usual way.

(As if you didn’t have enough to deal with.)

Use custom forms to get client info quickly and in a digital format

Instead of sending your clients a list of questions, a spreadsheet – or building forms from scratch in Word, AccountancyManager lets you build your own online forms. It’s quick and easy to do and you can create different forms depending on your clients’ circumstances. This is particularly useful when you’re preparing Self Assessment tax returns. In fact, we’ve created a default Self A ssessment checklist form to get you started, but you can customise it.

You get exactly the information you need, in a digital format, so no dodgy handwriting to decipher. And life is easier for your clients – which always makes you look good! Filling out the forms is like completing an online survey, much easier and quicker than having to edit a document with restrictive formatting or needing to print something out and scan it back in again.

Instead of emailing forms over – and risk them getting buried in a busy inbox – simply publish them to the client’s portal. Stats & facts: Accountants’ lives during lockdown

We’re not the first to say it – the last two months will go down in history. Perhaps it’s a comfort right now to think of our present as the past? Nevertheless, we can all agree, the sooner the coronavirus does become history, the better. 

As a nation, we’ve become obsessed with statistics. Mapping our journey to this point, comparing data between countries and keeping an even closer eye on the stock market (again).

At AccountancyManager, we started to spot some massive spikes in our usage data mid-way through March. So we dug a little deeper, asking our users how their lives have changed, what their main challenges have been and what has helped.

88% report an increase in workload 

Over half of respondents reported a significant increase in workload since the beginning of March –  with over a quarter seeing a slight increase. Interestingly, almost 9% have experienced a decreased workload.

The main challenge? Understanding and communicating Government support

While The Chancellor’s announcement on Friday 20th March was met by enormous relief (and the odd tear), it certainly raised a lot of questions. Over the subsequent two weeks, Rishi Sunak announced a scheme to support the self-employed. And by the 3rd of April the government had already released early figures on the Coronavirus Business Interruption Scheme (CBILS) – which has been ‘bolstered’ to reach more businesses. This news will brighten many a day. Thanks to months of tireless work by our development team, we’re about to see what happens when ‘beautiful accounting’ meets ‘automated admin’. 

Although you’ll be glad to know – we have a pretty good idea.

At 1.44pm on Wednesday this week, Josh – our Development Team Lead – forwarded us the email we’ve all been waiting for. Having passed the reassuringly meticulous scrutiny of Xero’s partner team, our integration is now live.

A quick thank you

The Xero integration exists because our users wanted it. That’s been the case – and will continue to be the case – for many AccountancyManager functions and features. James and Alex originally built AM with accountants literally by their side. Likewise, the future of AM lies in the needs of our existing and prospective users.

We’d just like to thank all the people that have requested the AccountancyManager-Xero integration, those that took part in our beta testing stage and – of course, Xero.
